Copy this into your bid request.

1. Project Area

  • Total lot square footage and method used to measure it.
  • Areas included and excluded from the work.
  • Phasing requirements, tenant access needs, and working-hour restrictions.

2. Existing Condition

  • Photos of cracking, potholes, drainage issues, failed patches, and trip hazards.
  • Known base failures or prior repair history.
  • Whether core drilling or depth verification is required before final pricing.

3. Crack Repair

  • Minimum crack width to be treated.
  • Hot-applied rubberized crack seal or alternate material.
  • Routing, cleaning, drying, and traffic control requirements.

4. Sealcoat or Surface Treatment

  • Number of coats, application method, material type, sand load, additives, and drying time.
  • Surface prep and oil spot treatment.
  • Clarify whether sealcoat is recommended or excluded due to pavement condition.

5. Asphalt Repair or Overlay

  • Patch locations, depth, sawcut requirements, tack coat, compaction, and tonnage assumptions.
  • Overlay thickness, edge milling, transitions, utility adjustments, and drainage corrections.
  • Base repair allowances and unit prices for additional discovered work.

6. Striping and ADA

  • Existing layout repaint or corrected layout.
  • Accessible stalls, access aisles, signage, slopes, route connections, and van-accessible counts.
  • Who is responsible for identifying noncompliant existing conditions.

7. Warranty, Exclusions, and Alternates

  • Warranty term, what voids it, and what is specifically excluded.
  • Traffic control, permits, night work, sweeping, hauling, and disposal.
  • Alternates priced separately so each contractor is comparing the same base scope.
